Set Your Child Up For Success this School Year: Write a Passport Letter to the New Teacher

When your child walks into a new classroom in September, the teacher knows only what others have said. That’s her first impression of your daughter or son. Make sure your voice is in the mix, right from the start! A passport letter is a simple, one-page introduction to your child that you can email to the teacher the week before school begins. This humanizing snapshot helps teachers see your child beyond the IEP and sets up a warm, collaborative start to the school year. Teachers often tell us they appreciate the gesture—and the information—as long as it’s brief.

What should your passport letter include?

  • warm, cooperative opening. Example:

    “My child Terry is very much looking forward to starting sixth grade with you this year. I’m writing to introduce Terry, share a few things that will help in your class, and ask for your support and sensitivity.”

  • A photo of your child enjoying a favorite activity (printed on the page, not attached).

  • The specific names of your child’s disabilities and when diagnosed.

  • Three positive attributes of your child.

  • Symptoms to watch for—and their triggers.

  • Calming techniques, including safe words or phrases.

  • What’s worked well (and what hasn’t) in past classrooms.

  • Notes on your child’s social interactions.

  • Your child’s favorites—subjects, items, foods—that can be used as motivators.

  • Your offer to help in the classroom, on field trips, or with projects.


Finally, close with your contact information and the best ways/times to reach you. By setting the partnership up for success from the very beginning, your child’s “passport” into the next grade can be stamped with approval!

Sometimes, it helps to have another set of eyes on the IEP and your child’s unique needs. An advocate can serve as an intermediary—supporting your child while helping you build a positive relationship with the school team.
